Terms and Conditions for Conferences and Events
(online and in-person)

1. ALMA Conference

The ALMA Conference is held annually and is the only in-person event (outside of ALMA’s Short Courses and the CertBALM®) where an attendance fee is charged to Members.

1.1 Applying for Conference Places

When applying for Conference places, ALMA requires members to complete a short booking form on the ALMA website. On submission of the booking form, ALMA will issue an invoice which must be paid in full prior to the conference in order to secure the place.

1.2 Prices and Sales Taxes/VAT

Sales taxes (VAT) are charges at the applicable rate depending on the option selected. Notice of new pricing will be given in advance, but ALMA reserves the right to change prices listed without notice.

1.3 Membership

Only ALMA Members are able to attend the ALMA Conference. In order to qualify to attend the conference, the applicant must:

  • work for a company which is a corporate member of ALMA,

  • be a student of ALMA, i.e. be a CertBALM®er or have signed up for the CertBALM® qualification or

  • be an Individual Member of ALMA

1.4 Payment

An invoice for the conference will be issued once your booking has been received. ALMA payment terms are 30 days from the date of the invoice, and in any event the invoice must be settled in full before the start date of the conference.

1.6 Cancellation Period

Cancellation terms will apply once a completed booking has been received (inclusive or exclusive of payment). Please note that cancellations can only be accepted by email at info@ukalma.org.uk and are subject to the following conditions:

  • Cancellations must be received more than 10 days before the event start date for a refund of the full fee less a 15% (plus VAT) cancellation fee.

  • Cancellations received less than the above number of days before the conference start date will not be refunded, but a nomination for a replacement delegate will be accepted without any additional charges.

  • If ALMA cancels the event for a reason within its control then delegates will be offered a full refund or a credit note against an equivalent future ALMA event.

  • Delegates will not be entitled to a refund or credit note for any cancellation outside ALMA’s control, such as, for example, fire, flood, epidemic, terrorism or governmental order. 

1.7 Speakers/Presenters

  • ALMA reserves the right to make minor alterations to the content and timing of the programme or to the identity of the speakers.

2. Free-to- attend Events (both online and in-person)

  • Any place you book for a free-to attend event is freely transferable to a colleague within your organisation. Replacements can be notified by email at info@ukalma.org.uk at any time before the day of the event.

  • If neither you nor any colleague can attend an event, please notify us at least 72 hours prior to the event so that the place can be made available to another delegate on the waiting list. 

  • If you fail to attend, or provide a replacement for, a free-to-attend event without providing 72 hours’ notice three times in any 12-month period then you may become ineligible for complimentary places at future events.

3. Delegate instructions

Delegate instructions are sent to all delegates before the start of an event. If you have not received your delegate instructions 24 hours before the event please notify ALMA by emailing info@ukalma.org.uk. ALMA accepts no responsibility for non-receipt of joining instructions.

4. Consent to filming

ALMA takes photographs at its events for, among other things, its website and LinkedIn. By booking a place at an event you confirm your agreement with ALMA that you assign to ALMA the copyright, performers' property rights and all other rights in any photography of you at the event for use in all media.

If you do not consent to ALMA photographing you at the event then please notify the photographer at the time and email info@ukalma.org.uk

5. Chatham House Rule

All ALMA events, whether in-person or online are held under The Chatham House Rule and Competition Law obligations. Members should not disclose or discuss any bank or party-specific commercially sensitive information.

6. Ownership and intellectual property rights

The materials produced for the ALMA conference or for any other in-person or online events are owned by ALMA or the individual presenters. Nothing in these materials may be copied, reproduced, uploaded, posted, displayed or linked to in any way without the permission of ALMA. Any such use is strictly prohibited and will constitute an infringement of ALMA/s and/or the presenters intellectual property rights.

7. Special Requirements

ALMA will make every effort to accommodate special requirements that have been notified in advance on the booking form for any of its in-person events.

8. Health and Safety

You must comply with all health and safety rules and regulations and any other reasonable security requirements that apply at the premises at which any of ALMA’s in-person events are held.

9. Membership Values

At all ALMA events, whether in-person or online, Members are expected to behave in a manner that is consistent with the values and standards of ALMA. These would include avoidance of:

  • The expressions of views that might cause offence or hurt to other members (or their delegates) on matters such as race, ethnicity, gender, sexual orientation, disability, age, socio-economic background or religion.

  • Behaviour at an ALMA event that could be interpreted as inappropriate such as bullying, harassment or belittlement.

  • Any attempt to induce another ALMA member (or delegate) to divulge commercially sensitive information; or, to disclose such information to third parties even if the information had been divulged either inadvertently or willingly.

  • Using ALMA events, or the wider ALMA network, to market, sell or otherwise promote a member’s own products and services to other ALMA members unless previously agreed by the ALMA Board for an express purpose or event. This includes the sending of unsolicited emails to ALMA members after the event.

  • Any other behaviour or activity that might damage the reputation of ALMA.

Any individuals or member organisations who are found to contravene any of the above may be subject to exclusions from future ALMA activities or events and may have their membership revoked.
